Privacy Policy

The short version: VidTrace keeps your videos, athletes and coaching notes on your iPhone. We don't have accounts, we don't upload your footage, and we don't use ads, analytics or tracking. We never see what you put in the app.
This policy explains how the VidTrace app ("VidTrace", "the app") handles information. VidTrace is made by Sports Stats Limited ("we", "us"). If you have any questions, email info@sports-stats.org.
What the app stores
Everything you create in VidTrace is stored in the app's private storage on your device. That includes:
- Athletes and groups: names, sport, profile colour, an optional photo and any notes you add.
- Clips: copies and thumbnails of the videos you choose to keep, their titles, dates and tags.
- Moments: the coaching notes you pin to a point in a clip, and who they're about.
- Sorting decisions: a record of which videos you've kept or skipped, so the Inbox doesn't show them again.
- Settings: preferences such as sort order, Inbox filters and auto-play.
This information is not sent to us or to anyone else. If you back up your iPhone with iCloud Backup or to a computer, the app's data is included in that backup, which Apple or your computer handles under its own terms.
Access to your Photos
VidTrace asks for access to your photo library so it can find your training videos. With that access, the app:
- reads details of your videos (such as the date, length and whether it's a screen recording) to build your Inbox;
- shows previews and plays videos so you can decide what to keep;
- copies the videos you keep into its own storage on your device.
VidTrace never deletes, edits or moves anything in your Photos library. Skipping a clip only means VidTrace won't show it again. If your videos are stored in iCloud Photos, your iPhone may download them from Apple so you can watch or keep them.
You can change or remove access at any time in Settings › Privacy & Security › Photos › VidTrace. If you choose limited access, VidTrace can only see the videos you select.
Sharing clips
When you share or export a clip, VidTrace creates the video on your device and hands it to the iOS share sheet. It goes only where you send it, for example Messages, Mail or your Photos library. Once shared, it's handled by that app or recipient.
Subscriptions and payments
Subscriptions and free trials are handled by Apple through the App Store. We never receive your name, email address or payment details. The app checks with Apple whether your subscription is active. Apple provides us with sales reports that don't identify you. Apple's handling of your purchase is covered by Apple's Privacy Policy.
Athletes and young people
Coaches often film young athletes. VidTrace is intended for use by coaches, not by children, and everything a coach records stays on the coach's device. As the person filming, you're responsible for having permission to record and keep footage of the people in it, including consent from a parent or guardian for anyone under 18, and for following your club's or school's safeguarding policy.
What we collect
We don't collect personal information through the app. We don't use analytics, advertising or tracking tools, and we don't link your data across other apps or websites.
If you email us, we receive your email address and whatever you include in your message. We use it only to reply and help you, keep it only as long as needed for that, and delete it if you ask.
Keeping or deleting your data
Because your data lives on your device, you're in control of it. You can edit or delete athletes, groups, clips and moments in the app at any time. Deleting VidTrace from your iPhone removes all of its data from the device. Copies may remain in your device backups until those backups are replaced.
We can't recover data for you, because we never have a copy.
Your rights
Under UK and EU data protection law you have rights over personal information we hold about you, including the right to access, correct or delete it. In practice the only information we might hold is an email you've sent to support. To make a request, email info@sports-stats.org. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes to this policy
If we change how VidTrace handles information, we'll update this page and the date at the top. If a change is significant, we'll also tell you in the app.
